Introducing open shifts

The open shifts feature is finally here! You now have the flexibility to create shifts and assign qualified team members later or offer them to other available team members who are keen to work during that time. How awesome is that? πŸ˜ƒ

Claiming open shifts option

You've got the option to let your staff claim open shifts! To enable this feature for your team members, just head over to Settings β†’ General and tick the "Allow team members to claim open shifts" box.

Claiming open shifts on mobile app

After enabled allowing team members to claim open shifts, staff will be able to see the "Open shifts" menu on the Accounts screen. They can then claim the shifts they prefer. The rule is simple: first come, first served.

Adding notes when signing in/out

There can be various reasons why you may need staff members to enter notes for their shifts. This can help in having a better experience when approving timesheets on payday. For example, if they forgot to clock in or out, or what time they started their shift, etc.

Now, with Timble Time Clock's on-site mode, you have the ability to allow staff members to add notes during the sign-in or sign-out process.

Setting it up is easy, just follow these 2 steps:

  1. Enable the option "Allow members to add a note when clocking in or out."
  2. Upgrade the Timble Time Clock app to the latest version, v2.4.0.

Tap the note button on the PIN screen and enter any necessary notes.

Managers will be able to preview the notes provided by staff members for each entry.

Shift notes on printed roster

You have an option to display shift notes on the printed roster.

Buddy punch prevention(on-site) and more

Previously, only employees using the Timble Time Clock app on their own smartphones could utilize buddy punch prevention. Now, this feature is also available in on-site mode.

To enable this option, follow these steps:

  1. Navigate to Settings β†’ Time Clock App.
  2. Scroll down to the "Time Clock (On-Site)" section.
  3. Toggle the switch to enable "Buddy Punch Prevention".

Make sure you have upgraded to the latest version of the Timble Time Clock app (v2.3.0).

Once everything is set up, the PIN screen will activate the camera to capture photos when staff members sign in or out of shifts.

New department filter

You can now filter leave requests by departments, which can be useful if you are managing multiple departments.

Leave requests sorting

We have updated the sorting for leave requests based on their status:

  • All status: leave request date descending
  • Pending: leave submitted date descending
  • Approved: leave request date descending
  • Declined: leave request date descending

Extended leave request date range to 90 days

Previously, the maximum date range for a leave request in the Timble web app was 30 days. Now, you can add a leave request for up to 90 days (Timble mobile app still has a maximum of 30 days).

Improvements for Xero integration

We have made significant improvements to the Xero integration.

Integration Settings

Now you can search for members by their names, which is very useful when you have a large team.

Choose Pay Calendars

If you have multiple pay calendars for different types of employees, you can select the appropriate pay calendar during the first step of the exporting process.

Smart Exporting

The exporting process has been enhanced to handle a large number of staff members' timesheets more effectively. Additionally, you now have the ability to resend failed members' timesheets without having to resend everyone's timesheets, saving you time!

Crystal Payroll integration - multiple pay rates support

If you are using Crystal Payroll and have staff members with different pay rates depending on the hours worked, such as different pay rates for weekends, you can now take advantage of this feature to split your timesheets into multiple entries with the corresponding pay rate.

Here is an example to demonstrate how it works. For instance, let's say you set up two rates for Monday:

  • From 8:00 AM to 6:00 PM is Pay Rate 1.
  • The remaining time is Pay Rate 2.

Suppose a shift started at 3 PM and finished at 10 PM on Monday, with an unpaid break of 30 minutes. When you export the Crystal Payroll CSV, you will see two entries:

  • 3 hours for Pay Rate 1.
  • 3.5 hours for Pay Rate 2.

The break is always deducted from the longest entry.

Therefore, when you import this CSV into Crystal Payroll, the system will automatically recognise the hours for each pay rate, eliminating the need for manual calculation.

Setting up pay rates

To set up pay rates, follow these steps:

  1. Navigate to Settings β†’ Integration.
  2. Open Crystal Payroll Settings.
  3. Switch to the Working Hours & Pay Rates tab.
  4. Click on "Enable multiple pay rates for different working hours".

Next, select the hours and pay rate based on your needs for each day of the week.

Excluding members

If staff members are only on Pay Rate 1, regardless of the time they worked, you can exclude them from these rules.
