How It Works

Data Sync Between Timble & Crystal Payroll

Step-by-Step Setup Guide

Step 1: Employee Mapping in Timble

To link employees between Timble and Crystal Payroll:

  1. Go to SettingsIntegration and open Crystal Payroll settings
  2. Copy the Staff ID from Crystal Payroll
  3. Paste it into the Employee Link field in Timble

Step 2: Timesheet Import Settings in Crystal Payroll

To enable Crystal Payroll to read data from Timble, configure the import settings:

  1. Go to Company SettingsImport / Export
  2. Select Timble in Import data from dropdown
  3. Click the "Save" button

Step 3: Export Timesheets & Leave from Timble

Once timesheets and leave are approved for the pay period in Timble:

  1. Go to the Timesheets page and select the period you'd like to export
  2. Click the "Export" button and select Crystal Payroll CSV format

Step 4: Import Timesheets & Leave into Crystal Payroll

To import timesheets & leave into Crystal Payroll:

  1. Go to Process a Pay → Time & Income
  2. Click the "Data Import" button and select the CSV file exported from Timble
  3. Upload the exported timesheet file and continue your pay run

Step 5: Sync Leave Balance from Crystal Payroll to Timble (Optional)

To sync leave balances from Crystal Payroll to Timble:

  • Navigate to Report CentreCompany Analysis, then click "Leave Entitlement Summary" in Crystal Payroll
  • Select CSV format and click the "Prepare" button to export leave balance report
  • Go to Settings → Integrations and open Crystal Payroll settings in Timble
  • Switch to Leave balance tab
  • Click "Update leave balance CSV" and select the file exported from Crystal Payroll
  • Upload the file

Note: Employees not mapped in Timble will be ignored.

What happens if I don't map employee Staff ID in Timble?

  • The system won't export timesheets and leave for unmapped employees.

What happens if an employee's details don't match?

  • Ensure that the Staff ID in Timble matches the Employee ID in Crystal Payroll, otherwise the timesheets will be incorrect.

How often should I sync leave balance?

  • It's recommended to sync leave balance after each pay run to ensure accurate leave balances.

Does this integration support automatic syncing?

  • No, data is exported and imported manually using a CSV file.
